How to use your documents

When you buy a KubitDocs bundle or pack, you get a set of fillable PDF templates. Here's the process for using them on your site.

Step 1: Download and open your documents

After checkout, you'll receive an email with a download link. Each document is a PDF file with fillable form fields — use Adobe Reader, Preview (Mac) or any PDF viewer that supports forms.

Step 2: Fill your site details once

Every document in your bundle shares the same site information fields: - Site address - Site manager name and contact - Project manager (if applicable) - Client/principal contractor

Fill these in the first document. When you export or print it, save a copy as reference.

Step 3: Copy site details to every document

Open the next document. Copy and paste the same site details from your first document. Because all documents share the same field names, they'll appear in the same place on every form.

Pro tip: Fill one document completely, export it as a filled PDF, then use that as a reference for the others. This speeds up the process and ensures consistency.

Step 4: Adapt to your specific work

Once site details are filled, adapt each document to the specific activity or stage it covers. Your competent person should: - Review the document scope and guidance printed on it - Complete the site-specific hazards and controls - Score and sign off the risk assessment or permit - Print a signed copy for the site file

Step 5: Keep copies

Maintain: - A signed copy on site or with the competent person during the work - A filed copy for your site records (usually held by the principal contractor or project manager) - A digital copy in your project management system or Box account

Step 6: Updates are free

When construction law changes and we revise a document, you'll get the updated version free. Download it and repeat the process — the structure stays the same, so your process does too.

Common questions

Can I fill these online? Yes — open the PDF in your browser or in any PDF viewer and fill the form fields directly. You can also fill them, download, and print for signature.

Do I need to fill every field? No. Fields marked as guidance (in grey) are for reference. Fill only the fields your competent person needs to score the risk or authorise the work.

Can I adapt the layout or wording? Yes. These are templates — your competent person completes and signs them. Adapt them for your site and processes. The legal basis sits in the legislation, not the template wording.

What if I need different versions for different sites? Each site gets its own filled copy. The structure and controls are the same; the site details, scores and signatures change.

How do I know which documents I need? If you bought a bundle, every document is included and designed to work together. If you're buying individual documents, use the search page to find documents by activity, hazard or trade. The guides section has detailed articles on which permits and assessments apply to specific work.
